There can be course sections across campus that traditionally have a small number of students enrolled. Given this, and concerns surrounding anonymity of evaluation results, we need to be sure we are giving adequate thought into collecting and presenting these results. This resource will review some considerations to keep in mind and related site functionality.
When considering releasing report results for low enrollment, we need to keep in mind the threshold setting within Evaluate. This setting restricts which course section results may be shared, and is turned on by default.
When handling low enrollment courses there are a few things to keep in mind:
- Which of your low enrollment course sections should be evaluated?
- If low enrollment course sections should not be evaluated, but have been imported into the site.
- If low enrollment course sections should be evaluated, but the results should not be visible to instructors or report administrators.
- If low enrollment course sections should be evaluated, but similar section results should be combined into one report.
- Who on campus should have access to low enrollment course section report results?
Which of your low enrollment course sections should be evaluated?
- If low enrollment course sections should not be evaluated, but have been imported into the site:
You are able to identify the enrollment of your course sections quite easily after adding them into an Administration. Once the Administration is created navigate into the Administration to view details and reference the Course Sections details:
You will then be able to sort the Enrollment column and remove low enrollment course sections. Only those course sections included in active Administrations will be evaluated. - If low enrollment course sections should be evaluated, but the results should not be visible to instructors or report administrators:
Each Administration you create requires you to schedule when reports are to be released. If you have a situation where you are hoping to collect the evaluation responses from students but not make these available to individual instructors and/or report administrators, you may create an Administration containing only low enrollment course sections and choose to not schedule these reports to be released.
These evaluation responses will still be available for export by Site Administrators using the Raw Data Export. - If low enrollment course sections should be evaluated, but similar section results should be combined into one report:
A common example we see here is with music lesson style course sections. You may have an instructor that teaches a number of one-on-one or small group sessions. In this scenario it may be beneficial to combine these sections into one overarching report. Who on campus should have access to low enrollment course section report results?
Site Administrators have control over whether or not reports are released to instructors and/or report administrations within the site, and on what date these may become visible. This is controlled by scheduling report release within Administration details.
